2. What we collect
Information you give us
| Category | Examples | Required? |
|---|---|---|
| Account details | Email address, password (we store only a scrambled "hash" of it, never the password itself) | Yes |
| Name and mailing address | First and last name, street address, city, state and ZIP code | Yes, when you create an account |
| How you heard about us | The answer you pick, such as a search engine, social media or a friend | Yes, when you create an account |
| Birth year and age confirmation | The birth year you enter at signup and your confirmation that it is true. We use it only to check that you meet our minimum age of 14 and to know whether you are under 18. We do not ask for ID or photos. | Yes |
| Study activity | Questions answered, scores, practice exam results, progress, bookmarks | Created as you use the Service |
| Free practice test email | The email address you type after finishing the free practice test, to send you the breakdown of your answers, and whether you ticked the box for study emails | Only if you ask for the breakdown |
| Support and feedback | Emails you send us, error reports, and anything you include in them | Only if you contact us |
| Agreement records | Which version of our Terms and Privacy Policy you accepted, when, and the IP address and browser used | Yes |
Information collected automatically
| Category | Examples |
|---|---|
| Technical data | IP address, browser type, device type, pages visited, date and time of visits, and error logs |
| Essential cookies | A cookie that keeps you signed in and keeps the site secure (see section 7) |
| Aggregate usage data | Counts such as page views, which pages are visited, the website or campaign link a visit came from, device type, browser and country, used to understand how the site is used as a whole. We count visits on our own servers without cookies: each visit gets a code made from your IP address and browser details with a value that changes every day and is then deleted, so visits cannot be linked across days or to you. We do not store your IP address or browser details with these counts, and we delete them after 90 days |
Information from our payment processor
When you buy, Square handles the payment. We send Square the amount, our order number and the product name. If you create your account at checkout, the name and address you type there are passed to Square with your card details. Square tells us what we need to give you access: whether the payment went through, the amount, and later whether a refund or a payment dispute happened. We do not receive your full card number or bank account number.
What we do not want
Please do not send us Social Security numbers, driver's license or state ID numbers, passport numbers, or bank, credit card or debit card numbers, in support emails or anywhere else. We never need them. If you send them anyway, we will delete them once we notice them.
3. How we use your information
We use personal information to:
- create and run your account and sign you in;
- deliver the product you bought and track your access period;
- save your progress and show your results;
- respond to support requests, error reports and refund requests;
- send transactional emails, such as purchase confirmations, password resets and important notices about your account or changes to our Terms;
- send marketing emails, such as study tips and updates, to account holders, and to visitors who ticked the box for study emails after the free practice test; every marketing email has an unsubscribe link, and we stop when you use it;
- keep the Service secure and prevent fraud, abuse, account sharing and scraping;
- keep records that show you agreed to our Terms;
- understand who our customers are, where they are and how they found us, using our own records, so we can improve the Service and decide where to tell people about it;
- fix problems and improve the Service; and
- comply with law and protect our legal rights.
4. Who we share it with
We do not sell personal information. We do not share personal information with anyone for advertising, including cross-context behavioral advertising.
We share personal information only with these kinds of service providers, and only what each needs to do its job for us:
| Type of provider | Provider | What it does | What it receives |
|---|---|---|---|
| Hosting, security and content delivery | Cloudflare | Runs and protects our website and stores our data, including the security check on the sign-up form (Cloudflare Turnstile) that tells people from automated programs | All data stored on or passing through the Service, including technical data such as IP address and browser details |
| Email delivery | Cloudflare | Sends our emails | Your email address and email content |
| Payment processor | Square | Processes payments, refunds and payment disputes | The card details you type into its payment form, under its own privacy policy, plus the name and billing address you type at checkout (new accounts), the amount, our order number and the product name |
We may also share information:
- if the law requires it, such as in response to a valid court order or subpoena;
- to protect the rights, safety or property of our users, the public or us, including to prevent fraud; and
- with a business that takes over the Service, in which case this policy continues to apply to your information unless you agree otherwise.
5. Do Not Track and tracking by other parties
We do not track you across other websites over time, and we do not place advertising or tracking tools from other companies on our pages. Our hosting and security provider may process technical data, such as your IP address, to protect the site from attacks. On our checkout page only, we load Square's payment form script so you can enter your card. Square may collect device and fraud-prevention information there under its own privacy policy; read its privacy policy for details. Because we do no cross-site tracking, our Service does not change its behavior when your browser sends a "Do Not Track" signal or similar signal.
We do not use advertising pixels or advertising cookies.
6. Children and teens
Minimum age 14. The Service is for people 14 and older who are studying for an insurance licensing exam. At signup we ask for your birth year. We do not ask for ID or photos, and we do not verify the birth year you give us.
Children under 13 (COPPA). The Service is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. We follow the Children's Online Privacy Protection Act (COPPA). If the birth year entered at signup shows the person is under 14, we do not create the account and we do not keep the birth year or email entered. If we learn that we have personal information from a child under 13, we will delete it and close the account. If you believe a child has given us information, contact support@prepretention.com.
Teens 14 to 17. We treat information from users under 18 the same way as everyone else's, as described in this policy: we do not sell it, we do not share it for advertising, and we do not show ads. A parent or guardian of a user under 18 can ask us to see, correct or delete that user's information, or close the account, by emailing support@prepretention.com.
7. Cookies
We use only cookies that are needed for the Service to work, for example to keep you signed in and to protect against attacks. You can block cookies in your browser, but then you will not be able to sign in.
If we ever add other cookies, such as analytics cookies, we will update this policy first.
8. How long we keep information
| Information | How long we keep it |
|---|---|
| Account details, study activity | While your account is open, then deleted within 90 days after the account is closed or deleted |
| Support emails | 24 months after the conversation ends |
| Purchase and refund records | As long as tax, accounting and legal rules require. We will keep only what is needed. |
| Agreement records | As long as your account exists and for 6 years after it closes, so we can prove what was agreed |
| Technical logs | 30 days |
| Messages containing ID, Social Security, bank or card numbers | Deleted once we notice them |
Our providers also keep data under their own retention rules. We may keep information longer if we must to resolve a dispute or comply with law.
9. How we protect information
We use reasonable safeguards for a business of our size, including encrypted connections (HTTPS), hashed passwords, and limited access to data. Card details are entered only into Square's payment form. No system is perfectly secure, so we cannot promise that information will never be accessed without permission.
10. If there is a security breach
If we learn of a security breach that affects your personal information, we will investigate, take steps to contain it, and notify you and any government agencies as required by law, without unreasonable delay.
11. Your choices and rights
Anyone, wherever they live, can ask us to:
- see the personal information we hold about them;
- correct information that is wrong;
- delete their information and account;
- get a copy of their information in a common format; and
- stop marketing emails (every marketing email also has an unsubscribe link).
To make a request, email support@prepretention.com from the email address on your account. To correct your name, mailing address or email address, email us the change from the email address on your account. We may need to confirm that the request comes from you. We will respond within 30 days. We will not charge you for a request or treat you differently for making one.
Deleting your account ends your access to anything you bought. We may keep records we are required to keep by law, as described in section 8.
12. Users outside the United States
The Service is designed for people in the United States preparing for a U.S. licensing exam. We and our providers store and process information in the United States and possibly other countries where our providers operate. If you use the Service from outside the United States, your information will be processed under U.S. law.
13. Changes to this policy
We may update this Privacy Policy. The effective date at the top shows when it last changed. If we make a material change, we will tell you by email and by a notice on the Service before the change takes effect, and where required, we will ask you to agree again.
